Returns & Refunds

Collabriapro recognizes the importance of promptly resolving account-related matters, including returned statements and payment refunds. To ensure clarity and efficiency, we assign dedicated specialists to address these issues and respond in a timely manner. We encourage all parties to review the following policies and understand their respective responsibilities to avoid confusion or miscommunication.

Patient Check Returns

  • If a patient’s check is returned by the bank due to insufficient funds, the patient is responsible for all associated returned-check fees, as well as any applicable postage or shipping charges.
  • In such cases, Collabriapro will contact the patient on behalf of the medical provider to obtain updated payment information, including credit or debit card details, to facilitate automatic payment processing.
  • Collabriapro will issue up to three billing statements to the patient on behalf of the medical provider. If the account remains unresolved after three attempts, the account will be returned to the client for further action.

Return of Statements

  • Collabriapro manages the mailing of patient billing statements on behalf of the medical provider. If three consecutive statements are returned as undeliverable, they will be forwarded back to the client.
  • Postage and shipping costs for undeliverable statements are not the responsibility of Collabriapro. The client is responsible for all mailing and handling charges related to returned statements.

Refund Policy

  • Refunds or overpayments issued to patients or insurance payers are the responsibility of the medical provider and not Collabriapro.
  • While Collabriapro facilitates patient payment processing, we do not issue or mail refunds. All refunds, including associated postage costs, are managed directly by the client or provider.
  • Collabriapro will update billing systems and financial records to accurately reflect refunds and payment reversals, ensuring commissions, balances, and charges are adjusted accordingly.
